Provides critical intermediate-to advanced-level coordination, word processing, and desktop publishing for proposals, Requests for Proposals (RFP), and Request for Information (RFI) responses, presentations, white papers, reports, and other products developed or supported by the Marketing Department.
A significant portion of the work includes creating document templates and figures, incorporating text, preparing for final production, and quality assurance. In addition, because much of the work is deadline driven, production management tasks will include preparing proposal schedules, tracking proposal progress, and maintaining the proposal schedules. This position requires a flexible work schedule, since work occasionally occurs after normal business hours to meet anticipated delivery deadlines.

The successful candidate must be able to work independently, be self-motivated, and demonstrate initiative to learn new technologies and processes. The successful candidate must be able to work in an environment that includes several concurrent assignments with quick turn-around times and numerous revisions under strict deadlines; the ability to retain a professional attitude during such times is essential.

Key Responsibilities:
• Analyze the requirements of Requests for Proposals (RFPs), and other solicitations. With limited guidance, synthesize, interpret and translate the requirements and proposal submission instructions from RFPs and create templates with specific instructions to assist proposal authors.
• Create templates in MS Word that contain multi-level list numbering, cross references, section breaks, customized fields, tables, and styles that adhere to the instructions from the solicitation
• Review proposals, reports, and presentations to ensure content, consistency, continuity, and quality; verify compliance with corporate standards, grammar, format, and template styles. Copy edit for format, grammar, style, punctuation, and spelling.
• Verify proposal submission adheres to the solicitation requirements (formatting, content, page count, schedule, costs, deliverables, and milestones). Mediate between various departments regarding financial and contractual information that affects proposals.
• Take on responsibility for entire production of proposal documents, including copying, binding, and/or web-site upload
• Maintain and enter data into the proposal database
• Provide expertise to staff in Microsoft Word and PowerPoint
• Produce marketing materials as needed.

Required Knowledge:
• Knowledge using Microsoft Office (Word, Excel, PowerPoint) and programs similar to Photoshop.
• Must have 3-5 years corporate paralegal experience
• Advanced English skills in both spoken and writing
